1. What is
the function and purpose of the AFC Fuel Management System?
The AFC fuel management system
performs two basic functions - Security and Accounting:
Security: The level of security on the AFC system
is completely programmable. The AFC system can begin the authorization
process using a magnetic stripe
card, an electronic Durakey™, or simply a keypad entry. The operator can then
be required to enter his driver ID number and if required, an additional security
number. Drivers and vehicles can be assigned to departments which may or may
not be allowed to fuel each others vehicles. Cards and Durakeys can be given
expiration dates, which will automatically invalidate a card or key when a
job or contract is finished. Selected vehicles can be required to enter valid
odometer values before fueling and can be refused fuel if past their scheduled
maintenance. Each of these security features can be individually programmed
for virtually any level of security required by the user.
Accounting: The AFC system keeps track of every gallon of
fuel dispensed. Depending on the configuration, it can record many fields of
information about
a transaction including: Fueling Site number, AFC Unit number, Date of fueling,
Time of fueling, Card or Durakey numbers used, Vehicle number, Vehicle Department,
Vehicle Class, Driver Number, Driver Department, Odometer Entry, Miscellaneous
Entry, Fuel Type, Fueling Position, Quantity dispensed, Sale Price, Price per
unit of fuel, Taxable / Non Taxable status, Miles per Gallon, and Cost per
mile. All of this information is recorded each time a vehicle is fueled. The
AFC system will store up to 999 transaction records in its memory,
and can transfer this information to a PC via the AFC Administrator software
which is included with the AFC system. The AFC Administrator software is a
Windows®-based package which can retrieve the transaction information from
multiple AFC systems, and generate many different reports. In addition, the
user can
use the AFC Administrator package to program all aspects of multiple AFC systems.
It is a database based program which will store all transaction and configuration
information for reporting purposes. The program will also allow exporting of
transaction information in a user customizable format, making the data compatible
with virtually any reporting or invoicing program. In short, the AFC fuel management
system records all fueling activity, sorts the data, calculates necessary values,
and generates detailed reports of fueling activity. It can even be programmed
to perform these functions automatically by the day or week! Anyone who has
ever kept track of fueling activity manually will recognize and appreciate
the enormous savings in man-hours.
2. The
price is right, but how can I be sure this system will do the job?
The AFC is a full-featured fuel
control system, designed for a full spectrum of control options and
with a comprehensive selection of standard reports available through
the Administrator software package. This system is designed for the
small to mid-sized fleet operation with varied operator and fuel control
requirements. It will give full and detailed control over the fuel
each operator can use, and in which vehicle while recording each transaction
in full detail. The AFC system has been designed to meet
the big fleet
operator's control and reporting needs. The AFC System design is continuously
being updated as new requirements are identified.
3. Can I
control which fuel is available to a particular customer?
Absolutely. Defined and set up
in the customer card configuration.
4. If something
fails in the system, am I prevented from dispensing fuel?
Manual override switches are provided
internally to allow you to bypass the system for any reason. For
security, access to the console interior is required to activate this
bypass feature. This access is restricted by lock
and key.
